Scheduled PTO balance in the timekeeping system. The Balance Forward line will show your current PTO balance that is available to use. The Accrual line will show you how much PTO you accrue each week. The bottom balance is what your PTO balance will be at the end of the week once your weekly accrual goes through on Saturday (end of the pay period). In this example, this employee currently has 35.11764 PTO hours available. They accrue 2.76923 PTO hours each week, so at the end of this week they will have 37.88687 hours of PTO available. TIP: Communication is key to this policy. You should let your supervisor know your request AS SOON AS POSSIBLE. Again, existing rules about the number of people per shift or line that can be absent do apply. It is also possible that your supervisor may grant you permission to trade shifts with someone. If you are able to successfully trade shifts for that day, no PTO use will be required. Multiple Day Absences – Non-FMLA Absences are NOT excused/unexcused; however, if you have no PTO and/or FLEX days available, a doctor’s excuse stating that you were restricted from working for the entire period of your absence may be submitted to roll your occurrences into 1 absence. Only then, will we count the entire period as 1 absence and assign you 2 points. Any documentation must be submitted to HR no later than 48-hours after the employee returns back to work from their absences. If no doctor’s note is provided or the note does not mention all dates of the absence, then attendance points for each day missed will be assigned. A WORD OF CAUTION Your total PTO availability changes every week and you are responsible for knowing what PTO you have available. Your total accrued (available) PTO is on your paystub each week. Hours are made available to you and it is up to you to manage them. Points can and will be assigned if you exhaust your available PTO and/or Unscheduled PTO (FLEX) and then need it for unforeseen circumstances. In order to truly keep track of your balances, you will need to keep track of both your Unscheduled PTO Used and PTO balances in the timekeeping system. Again, in order to use Unscheduled PTO (FLEX) you must have regular PTO available to apply to it. Please review the examples below:
